The Master Roster is the source of truth. These numbers are read live from it.
Everything residents submitted through the forms, waiting for a rep. Approving applies the change to the Roster; rejecting files it without touching the Roster. Nothing here changes the neighborhood list until you act.
One row per property, permanently. Click any home to edit it. The house never leaves the list — when it sells, the household changes and the row is flagged, never deleted.
Makes the community@ email group match the Roster, so the right neighbors get mail. The Roster always wins — this never edits it. Preview first, then apply — the Apply button only appears once you've previewed.
Open a question for the neighborhood. Residents get one vote per household, votes are anonymous (results show totals only), and each poll opens and closes on the dates you set. You can edit a poll, extend its dates, or close it at any time.
Every contractor residents recommended, grouped by category. Reviews post live; if one is inappropriate, Hide it. If a contractor is out of business or a bad actor, Remove it — the row is kept for history, just hidden from residents.

You’re a volunteer — this is built to take a few minutes a week. Most things run themselves; you step in only where a human decision is needed.
You’ll get an email whenever something needs you (a move, an issue, a contractor recommendation) or just for your awareness (a review, a self-update, a suggestion). A good habit: skim email as it comes, and open the console once a week to clear anything in Submissions.
Automatic — no action: residents updating their own info & photos, contractor reviews, the community@ email-list sync, and suggestions (they just log).
Needs a rep decision: move in/out, reported issues, new contractor recommendations, new contractor categories, and opening/closing polls.
Open Submissions and work top to bottom (oldest first). Each card shows the home, what changed, and any photo. Approve applies it; Dismiss files it with no change. When a card shows an email or phone correction, Approve lets you tick “Also apply this contact correction to the roster” so the fix is never dropped. You can tick “email the resident” to send a friendly note.
Watch the sale rule: a move-in against a home that still has an Active owner is flagged — confirm the sale actually closed before approving. A trust or estate retitle with the same last name is not a sale.
Click any home to edit it. From here you can fix names, emails and phones, set a household’s directory and email-list choices on their behalf, mark someone a Neighborhood Rep (the checkbox under their name — it lists them on the resident page and grants console login), and remove a profile photo if needed.
Golden rule: never delete a roster row. Mark a home Sold only once the sale has closed; Pending holds a home (never added to or removed from email).
Under Voting, tap + Open a new poll: write the question and options, and (optionally) set open/close dates. You can edit, extend, close, or reopen any poll. Residents get one anonymous vote per household; you see totals only.
The Contractors tab lists everything residents recommended. Tap Edit to fix a name, phone, contact, category, or note. Reviews post live — if one is inappropriate, tap Hide. If a contractor is out of business or a bad actor, tap Remove (the row is kept for history and can be restored). New categories a resident proposed show up in Submissions for approval.
The Suggestions tab is your improvement backlog. Each resident idea lands as New; move it to Planned when you take it on and Done when it ships. Nothing here is public.
Membership syncs automatically whenever a status or email changes — you rarely touch it. The Dashboard shows the last sync and a Sync now button if you ever want to force one. A safety brake blocks any sync that would remove more than a quarter of the list at once.
Open Messages to email one household or invite everyone who hasn’t joined the directory. Everything sends from admin@bayoupinescustom.org and is logged in Activity.
Email one household: the Subject and message start blank. Pick the home under Send to, then load a starting point with a button — Welcome template, Directory nudge (just this home), or Write my own. Changing “Send to” after that only swaps the greeting line (“Hi Chad and Lauren,”); it never rewrites what you’ve written.
You don’t type a signature. A sign-off with all three reps’ names and titles is added automatically at the bottom of every email — the note under the message box reminds you.
The “May need a welcome” list is shared. Once anyone sends a home its welcome, that home drops off the list for every rep — even after a refresh — so two reps never welcome the same household twice. If a home ever needs one again, clear its Welcome_Sent_At cell in the Roster and it reappears.
Nudge everyone: the top of Messages one-click invites every Active home that has an email but hasn’t chosen a directory setting — each note is personalized, and homes that already chose are left alone.
Almost everything here is reversible — restore a contractor, un-hide a review, correct a roster field, reopen a poll. When in doubt, fix it in the Roster and it flows everywhere. For a change to the site itself, residents can send it through Suggest an improvement.

One click emails a warm, personalized invitation to every Active home that has an email on file but hasn’t chosen a directory setting yet. Homes that already picked Full, Email only, or private are left alone — each note is addressed to that household by name.
